Staff Exit Questionnaire managers’ guidance

What is the purpose of the exit questionnaire?

Exit questionnaires help us to understand reasons why staff decide to leave the council and help us to address any issues that may have occurred during their time of employment. It gives staff an opportunity to provide feedback on our service and highlight areas for improvement and where necessary change may need to be implemented.

We want to be able to understand why staff decide to leave in order to update future policies and practice. This will assist the council in being able to provide a good experience to new joiners in the future and create a positive working environment for our employees which ultimately provides a positive experience for our residents. Staff feedback will help us to minimise our turnover and retain a highly skilled and motivated workforce.

It also offers an opportunity for individuals to feedback positive experiences and highlight areas where the council are performing well and recognise where we can reinforce best practice.

What do we do with staff responses and how is the data used?

By understanding the reasons behind staff turnover, this helps us to improve our recruitment initiatives and employee engagement across the council. Our aim is to reduce turnover and increase employee retention, so we can maintain an experienced and highly motivated workforce. Completed questionnaires will be analysed to identify common themes, trends and issues to be addressed. These may include for example:

  • career progression
  • job dissatisfaction
  • poor relationship with line manager
  • health and wellbeing
  • personal factors

When should the exit questionnaire be completed?

As part of the leaver process, the exit questionnaire should be completed prior to a member of staff leaving the organisation. Once a team member resigns, you will need to encourage them to complete the questionnaire and advise them that it will be completely confidential. The exit questionnaire is not compulsory however is recognised as good practice and can provide valuable insight into a member of staff's experience at Hammersmith and Fulham. The form will be completed online, however if the employee requests, an exit interview can also be arranged with either yourself as the manager or a member of People and Talent.
